Cancellation Policy

Campground Automation Service Policy Phillips Tech Solutions Consultations Consultation and assessment fees cover professional evaluation, system planning, and recommendations. Fees are non-refundable once completed. If a full installation project is approved, the consultation fee may be credited toward the total project cost at our discretion. Estimates & Scope Project pricing is based on the agreed scope of work following site assessment. If additional infrastructure, wiring, or system requirements are discovered during installation, a revised estimate will be provided. Written approval is required before proceeding with additional work. Deposits & Equipment Projects over $1,000 require a minimum 50% deposit to secure scheduling and order equipment. Special-order hardware, AI systems, cameras, and integration components must be paid in full prior to ordering. Installation dates are not guaranteed until deposit is received. Subscriptions Systems that include AI monitoring, dashboard access, plate recognition, SMS alerts, or cloud storage require an active subscription plan. Subscriptions are billed monthly unless otherwise agreed. Failure to maintain an active subscription may limit system functionality. Client Responsibilities Client must provide reliable power access, stable internet connectivity (unless LTE service is purchased), safe installation areas, and necessary reservation/PMS credentials if integration is requested. We are not responsible for issues caused by poor internet service or third-party software outages. Cancellations Installations may be rescheduled with at least 48 hours notice. Cancellations made after equipment has been ordered may result in forfeiture of deposit. Consultations canceled within 24 hours may incur a cancellation fee. Warranty Labor is warranted for 30 days from installation date. Equipment warranties are subject to manufacturer terms. Warranty does not cover environmental damage, misuse, tampering, or internet disruptions. Liability AI detection systems depend on environmental conditions and software accuracy. No system guarantees 100% detection. Client is responsible for compliance with local laws related to monitoring or enforcement. Phillips Tech Solutions is not liable for indirect or consequential damages. Payment Final payment is due upon project completion unless otherwise agreed. Late payments may result in suspension of subscription services.
